Unit Arrival
Exhibit unit arrival at the Kentucky Exposition Center (KEC) will be staggered. The date of unit arrival at the show as well as the date and time units will be moved into the exhibit hall will be staggered and will be based on exhibitor’s booth location. Exhibitors will be assigned specific days for unit arrival that will range between November 21 through November 25, 2016. (Unit arrival will not be scheduled on Thanksgiving, November 24.)

Each exhibitor will be notified by e-mail and regular mail of the earliest date exhibitor’s units may begin arriving at the show. If any exhibitor’s units arrive at the show prior to the exhibitor’s scheduled arrival date, exhibitor will be subject to fines and impoundment of exhibitor's show units. Other events are taking place at the KEC and units that arrive ahead of their scheduled arrival date are also subject to vandalism and theft.

On scheduled arrival days, units will be received between the hours of 7 a.m. to 7 p.m. daily. Drivers should be instructed to arrive during these hours as units will not be accepted any other time. All units must be checked in with RVIA personnel who will be stationed in the KEC parking lots 7 a.m. to 7 p.m. beginning November 17, 2016. Keys to all units, travel trailers and motorized units must be left with the RVIA check-in personnel.

Exhibitors will be notified by e-mail and regular mail of the date their units must be on the grounds of the Kentucky Exposition Center, and the anticipated time those units will be moved into the building. All show units must be received at the KEC no later than their designated arrival time prior to their scheduled move-in time or sustain a fine of $200 per day/per unit.

LP Tanks must be purged of all fuel prior to arrival at the Show Site. Motorized units may only have a sufficient quantity of fuel to permit placement and removal of the unit in the exhibit hall.

Unit Washing
Unless the exhibitor notifies RVIA he does not want this service, all show units will be washed prior to being placed in the Exhibit Hall by RVIA, provided they arrive at the staging area during their scheduled arrival time. Washing of late arriving units or of units placed in the building prior to their designated time is at the exhibitor's expense. This service is provided to remove road dirt from all units and is not intended to leave units in "show room" condition. Exterior spot free treatment and interior cleaning, waxing and window cleaning is available at the exhibitor's expense through the contractor whose form is included in this kit.

Unit Move In and Placement in Booth
RVIA crews will begin moving in units on or about 8 a.m. on November 21, 2016. RVIA crews will move the following units into the building and place the units in exhibit booths provided exhibitor has supplied a detailed plot map or has personnel on-site to supervise the placement of units: Motor Homes; Folding Camping Trailers; Travel Trailers; Fifth Wheels; Tow Vehicles; and Park Model RVs. RVIA crews WILL NOT move in Chassis or Slide-In Truck Campers and Caps that are not mounted on a motorized vehicle.

It is the exhibitor's responsibility to supply units that meet the height and width limitations for:

  1. exhibitor's booth,
  2. entry doors to the exibit hall where exhibitor's booth is located,
  3. aisles leading from entry doors to exhibitor's booth, and
  4. RVIA's definitions of RVs and park trailers suitable for display.

Show management will not disassemble units to move them into the building. Show management may at any time prior to the opening of the show, reject and remove from the show,

  1. units that cannot easily roll through the overhead door accessing the exhibit hall exhibitor is assigned to;
  2. units that cannot easily clear overhead obstacles in the building;
  3. units that cannot clear overhead obstacles in exhibitor's booth,
  4. units that do not fit totally within the boundaries of exhibitor's booth (unit and all unit appendages such as steps and hitches must fit into booth boundaries; and
  5. units that require an unreasonable effort on the part of the show management to move in the units.

Manufacturers may move in their own units upon obtaining, at the show site, an authorization slip signed by RVIA's crew chief. Manufacturers who fail to obtain a signed authorization and begin moving in their units, will be subject to a fine of $2,000.00 per unit moved in, payable immediately upon discovery of their move-in. The exhibitor will not be permitted to exhibit until the fine is paid.

All units must be in the building no later than 5 p.m. Friday, November 25, 2016 when the overhead doors are closed and locked. All exhibits must be set, ready and manned no later than 9 a.m. on November 29, 2016.

Move-Out: RV, Park Model RV, Chassis, & Tow Vehicle Manufacturer

Unit Move-Out
Unit move-out will begin at 8 a.m. on Friday, December 2, 2016. No motorized units of any kind, including race cars, may be moved out of the building until 8 a.m. Friday, December 2, 2016. At 1:00 p.m. on Thursday, December 1, 2016, and not before, exhibitors may begin to pack up exhibits. Exhibitors who begin packing up or tearing down exhibits prior to 1:00 p.m., December 1, 2016, will be charged a fine of not less than $1,000. Payment of the fine will not entitle exhibitors to breakdown prior to 1:00 p.m., December 1, 2016. Exhibitors who refuse to pay the fine will not be permitted to exhibit in future shows until the fine is paid.

From 1 p.m. - 10 p.m., Thursday, December 1, 2016, exhibitors who can hand-carry or use their own two-wheel push cart may, under the supervision of a company representative responsible for exhibit property leaving the building (See Move-Out Supervisor Designation Form), remove their exhibits from the building. Loading docks and overhead doors in the manufacturer exhibit halls will be closed and locked during this period. The doors at the south end of the arena (hand-carry only), the overhead door at the north end of the arena (hand-carry or two-wheel push cart), the doors in South Wing Lobbies A, B, and C (hand-carry only), and the overhead door in South Wing Lobby B (hand-carry or two-wheel push cart) will be the only means of exit from the building. RV, park model RV, chassis, & tow vehicle manufacturer cargo trailers will not be allowed into the building on December 1. Cargo trailers must remain in the storage lot assigned to them for show days and not be brought up to the building until authorized by show management to do so on Friday, December 2, 2016. Any units brought up to the building before show management gives exhibitors the authorization to do so will be towed and impounded. No motorized vehicles, including race cars, will be allowed into or out of the exhibit halls until 8 a.m., Friday morning, December 2, 2016.

At 10 p.m. on Thursday, December 1, 2016, tear down of displays will cease for the evening. Teardown and move out of all exhibits and units will begin at 8 a.m., Friday, December 2, 2016. All exhibits must be removed from the building by 6 p.m., Friday, December 2, 2016. All recreation vehicles, park model RVs and chassis must be removed from the Kentucky Exposition Center parking lots by 7 p.m., Monday, December 5, 2016.

Every effort is made to protect your property during move-in, move-out and during the show. However, neither the exhibit facility or RVIA, nor any of its service contractors will be responsible for the loss or damage of any merchandise while in transit to or from the building or while in the building. RVIA strongly recommends at least one employee of each exhibitor stay to supervise their move out on December 2. Exhibitors are required to designate a Move-Out Supervisor to oversee arrangements through move-out.

Release Permits
An 'RVIA UNIT RELEASE PERMIT' will be required for anyone to remove Units or Merchandise from the building once inside the building. This permit may be obtained from the Show Office.

Manufacturers who assign their show units to dealers or are having drivers pick them up, are required to provide the dealers and/or drivers with the unit release permit properly completed, and to let them know if unit release permits and keys to the units have been left in the show office, motorhome check-in station, or elsewhere. They should also inform them that they MAY NOT pick up units until 8:00 a.m., Friday, December 2, 2016. NO UNITS MAY BE REMOVED FROM THE BUILDING PRIOR TO 8:00 A.M., FRIDAY, DECEMBER 2, 2016. Those units closest to overhead doors will be removed first.
