The Recreation Vehicle Industry Association (RV Industry Association) located at 1896 Preston White Drive, Reston, VA 20191-4363 (hereafter “RV Industry Association” or the “Association”) has prepared this data protection notice (the “Notice”) to describe its practices regarding the collection, use, storage, transfer and other processing of individually identifiable information about you (“Personal Data”).  The Association is the controller responsible for the processing of Personal Data described in this Notice.

The categories of Personal Data that the Association processes are:

  • Personal details and contact information: this includes without limitation first name, last name, suffix, e-mail and telephone details, work address, company and job title.

Except where restricted by local law, the Association uses the Personal Data listed above for the following purposes.

  • Communications: Sending invitations and communications related to RV Industry Association events or purchased products, relevant RV Industry Association publications and RV Industry Association news (News & Insights), as well as other marketing or promotional materials.

3. How we store personal data and who can access it

The Association maintains an automated record of your Personal Data.  Additionally, the Association maintains Personal Data in various digital documents, namely event attendee lists and event feedback surveys.

The persons and entities that can have access to your Personal Data are:

  • All RV Industry Association staff based in the offices in Reston, VA (1896 Preston White Drive) and Elkhart, IN (1178 Fremont Court Suite 2, Elkhart, IN 46516), as well as telecommute employees in California; and
  • external professional services, such as IT systems services, including, but not limited to, cloud service providers, payment card processors, and web analysis companies.

Where the Association engages a third-party processor to process Personal Data on its behalf, such as those listed above, the Association will, when applicable, delegate such processing in writing and will choose a processor that provides sufficient guarantees with respect to technical and organizational security measures governing the relevant processing. These third-party processors can be used to provide the services to you, process payment card information or analyze how you use our websites.

From time to time, the Association may also need to disclose Personal Data to other parties, such as any organization with whom the Association co-organizes an event. The Association may share Personal Data with these third parties when it is necessary for the purposes of the legitimate interests pursued by the Association. Such legitimate interests can include coordinating administrative and logistical needs for an event, communicating with the appropriate parties about an event, etc.

4. Security

Our website uses HTTPS and appropriate certificates to secure the information you provide to our websites. The services we use to support our websites have the appropriate security programs to secure the information provided to them.

5. Data retention

Unless you withdraw your consent to the processing of your Personal Data earlier, the Association will retain your Personal Data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. In particular, the Association uses your Personal Data to pursue the legitimate interests of the Association related to:

  • Entering into and continuing Association-member relationships with new and old RV Industry Association Member Organizations: RV Industry Association processes the Personal Data of applicant RV Industry Association Member Organizations’ contact persons for the purpose of processing the applicant RV Industry Association Member Organization’s membership application;
  • Communications: upon your RV Industry Association Member Organization joining the RV Industry Association’s network and based on your position at the member organization, you may be added to different relevant working groups and their contact lists, as well as to the relevant RV Industry Association Newsletter. On the basis of this, RV Industry Association will be sending invitations to meetings, meeting minutes, requests to fill out surveys and communications related to RV Industry Association events and working groups, RV Industry Association publications (for example, legislative alerts and standards communications) and the relevant RV Industry Association Newsletter (News & Insights Newsletter), as well as other marketing or promotional materials.

Only the appointed primary point of contact within an RV Industry Association Member Organization (selected by the member organization) will be able to access the personal details of other contacts, from their own organization only, that RV Industry Association interacts with.

RV Industry Association is the data controller responsible for the processing of personal data described in this Privacy Policy. The above personal data will be used by RV Industry Association for: administrative management tasks (notably to keep its database up-to-date), for logistical purposes (to contact and communicate with visitors and registered users with respect to the working group meetings/events they have registered for), for servicing registered users and helping to keep registered users informed of its activities, for payment processing, and for its own tracking purposes (notably to analyze who logs in and who downloads/accesses parts of this site or this store and documents, and who purchases what products, including event registrations).
